A useful damaged-shipment packet should let the reviewer connect an observed problem to one ordered unit while seeing the limits of the evidence. Here is a complete hypothetical jewelry-set example, including a missing opening photograph. It demonstrates how to report an imperfect record honestly rather than making the packet look more conclusive than it is.

Define the case and its counting units

Assume fictional order DEMO-31 contains six sets of one necklace and one earring pair. Parcel SHIP-DEMO-9 is opened at 2:00 p.m. Six necklaces and twelve earrings are counted. In one set, an accent is separate from one earring and lies in that set's pouch. The other earring and necklace remain with that set. No photograph was taken during opening; the first photographs are made at 2:12.

Measure Recorded quantity Meaning
Ordered selling units 6 sets Not 18 separately ordered pieces
Parent units represented on arrival 6 sets Includes the affected set; not all certified sellable
Affected ordered units 1 set The quantity used to identify this case
Observed affected component 1 earring Inside that same set, not a second claim unit
Loose accent 1 noted fragment Evidence, not another ordered unit

Keep routine handling and arrival checks with the receiving-inspection guide. The job here is turning those observations into a reviewable packet, not repeating the receiving checklist.

Make each attachment answer one question

Use an evidence index such as the following. Filenames and times are illustrative; no private order information belongs in a public sample.

File Question it answers What it cannot establish
D31-01-order-line.pdf Which option and set contents were ordered, and how many? What actually arrived or who caused damage
D31-02-parcel-1412.jpg What did the outer parcel look like at 2:12? Its unopened condition at 2:00
D31-03-current-interior-1413.jpg Which packaging remains, in its documented current arrangement? The original placement before unpacking
D31-04-affected-set-1415.jpg Which necklace, pair and pouch belong to the affected unit? Whether every other unit is defect-free
D31-05-earring-detail-1417.jpg Where is the empty setting and separate accent visible? Material composition, cause, or time of separation
D31-06-shipment-label-private.jpg Which parcel reference connects the packet to the shipment? Its contents or carrier liability

Faire's export fields can help connect an order line, option and shipment. Use the actual transaction evidence, not a later catalog page as a substitute for what was ordered.

Disclose the missing opening evidence

Put the gap in the index and report: no opening photos were taken, and the interior image shows the arrangement after unpacking. If someone moved the pouch before photographs, state that too. Keep original files; distinguish any annotated or privacy-redacted copies.

UPS's US evidence guidance asks for package, label and item/packaging views. When a requested view does not exist, explain the absence to the actual reviewing channel. Do not repack the parcel and label a new photograph “as received.” Later documentation cannot recover that missing observation.

Use a factual paragraph that the files support

The following ready-to-send paragraph belongs only to the fictional case. Replace every fact with your own verified record before using its structure:

For order DEMO-31, parcel SHIP-DEMO-9 contained the six ordered necklace-and-earring sets: six necklaces and twelve earrings. One set is affected. One earring in that set has an empty setting, and one loose accent was found in its pouch. The affected set and packaging are retained under case D31. Files D31-01 through D31-06 identify the order, parcel and observed condition. We opened the parcel at 2:00 p.m. without taking photographs; photography began at 2:12. The interior photo shows the post-unpacking arrangement, not the original packing. We cannot determine when or why the accent separated. Please advise what additional evidence you need to review this issue.

Send privately and record the next evidence request

Share full labels or invoice details only through the appropriate private order-support channel with authorized recipients. Redact personal information from training examples. Faire's issue categories distinguish damage and quality problems; follow the applicable channel's definitions without asserting a cause the files cannot establish.

The necklace and clip-on earrings set illustrates the parent-unit relationship only; it is not the damaged set in this example.

The necklace-and-clip-on-earrings set illustrates a defined selling unit. It is not the damaged item in the hypothetical evidence packet. View the product and current options.

Keep submission acknowledgment, requests for additional evidence, and any eventual decision separate. Consult current shipping and returns information for an actual Rustic Jewel Co order. This packet demonstrates documentation, not eligibility, liability, or a promised remedy.
