Jewelry taken for photography, styling, or an internal sample review still needs an accountable location. The move is not necessarily a sale, loss, or transfer of ownership. Record what left, who has it, which components went with it, and what must be checked before it returns to available stock.

Issue a specific object, not “some samples”

Create an internal issue reference with the purpose, responsible custodian, issue time, origin, destination, and planned review or return time. Identify the exact variant and selling unit. If several identical units exist, use an appropriate temporary custody identifier to distinguish the issued one without changing its product identity.

Make the destination findable. “With marketing” is a department, not a location. “Studio cabinet, tray PHOTO-3, assigned to the shoot lead” gives the next person somewhere to look. Keep personal contact information in the proper restricted staff system, not on a public display label.

Faire's stockroom guide emphasizes labeled locations. Extend that discipline to temporary work areas; otherwise a tidy stockroom map stops being useful the moment a piece leaves the room.

List components and condition at issue

For a set, record the parent unit and each expected component in its issue manifest. Note packaging separately so a returned box is not mistaken for a returned set. Photograph the complete issue where appropriate and record existing visible concerns without inventing a grading scale.

The butterfly brooch and ear-clip Set illustrates this need. Use the selected Set's defined contents; a separate option or another arrangement in a listing image does not automatically belong in the issued package.

The selected butterfly Set includes a brooch and ear clips; record its defined contents rather than treating every photographed option as included. View the product and current options.

Shopify's sample guide discusses using samples in photography and display. That possible use does not establish whether a particular sample is saleable afterward. Keep custody, condition, and saleability as separate decisions.

Decide whether other channels may still sell it

If the item cannot be retrieved and fulfilled under the store's actual process, resolve its availability before it leaves. Do not rely on a handwritten “photo” note to stop an online order. Use the authorized inventory mechanism and record its reference alongside the physical issue.

Shopify's inventory states allow physical presence and sellable availability to differ. Choose the correct state for the actual situation with the stock owner; an internal issue is not automatically a damaged-stock adjustment or a completed sale.

If it remains available, name who can retrieve it and how staff will learn its temporary location. That is an internal operating decision, not a promise that a customer order can always be fulfilled while a shoot is underway.

Close the return in two steps

First, acknowledge custody: the named person receives the exact item and counts the manifest. Second, review condition and authorize the intended stock state. “Back in the building” should not automatically mean “ready to sell.” Route uncertain condition through the store's existing inspection process; do not prescribe improvised cleaning or repairs.

If one ear clip is absent, record an incomplete return rather than closing the entire Set. If the review time passes, contact the custodian and record the next action; an overdue row alone is not evidence of theft or permanent loss.

Finish by updating the location, closing or resolving any hold, and linking the return evidence to the original issue. The inventory-record guide covers the wider stock structure. For questions about exact contents before an internal shoot, use the wholesale inquiry page; this workflow creates no lending or sample arrangement.
