A useful jewelry sample approval says, “This revision is acceptable for these stated features.” It does not say that every future unit will match, that untested materials are verified, or that the supplier is approved for every product. Keep the decision attached to the exact sample rather than to a reassuring email subject line.
Identify the object before recording the opinion
Assign a reference such as SAMPLE-17-R2 and record the supplier's item code, your internal reference, option, selling unit, date received, and current storage location. Photograph the identifier beside the sample without covering the detail being reviewed. Preserve the original listing or specification version used for comparison.
A name is helpful to people but is not enough to identify a revision. Shopify distinguishes the customer-facing title from the internal SKU; carry that separation into your sample file. Record who supplied a revised sample and what they said changed. Do not overwrite R1 when R2 arrives.
Approve features separately
The following is a hypothetical approval record, not a report about a Rustic Jewel Co product. Its purpose is to prevent a narrow visual approval from becoming a broad quality promise.
| Feature | Evidence | Decision scope |
|---|---|---|
| Front arrangement | Reference photo and physical comparison | Accepted for arrangement only |
| Fastening | Back view absent | Pending; no approval |
| Dimensions | No recorded measurement | Unknown |
| Material composition | Appearance only | Not verified |
Use accepted, rejected, pending, and not assessed as different decisions. “Looks fine” cannot resolve all four rows. If a requirement needs specialist testing, identify the evidence needed rather than improvising a test or treating a visual check as certification.
Make a revision comparison, not a fresh vague approval
Place the old and new records together. List each requested change, the evidence received, and any newly observed difference. If the supplier changes the back while preserving the front, the earlier front approval need not disappear, but it cannot silently approve the new fastening.
Shopify's sample guide distinguishes manufacturing review rounds from reviewing finished products supplied by another brand. A boutique buying an existing design should not assume it can require redesigns merely because it has a sample record.
Ask the supplier to acknowledge the reference and unresolved points. Keep acknowledgment separate from your own decision. A sent message, a reply confirming receipt, and agreement on a specification are three different events.
Use pictures for what they actually show
The blue starfish brooch/pendant provides a useful front-view example. Its visible arrangement can support an appearance reference; the image alone does not establish chain compatibility, dimensions, or durability. Keep those questions in their own evidence fields.

Faire's listing guidance emphasizes matching the name, description, and imagery to the same item. Apply that check before accepting a photograph as the reference for a different option.
Close the decision without closing future checks
The final record needs a decision maker, date, permitted scope, unresolved requirements, and the retained reference location. An approval with a blocker should explicitly state what cannot proceed until that blocker is resolved. Reopen it when the relevant specification changes, rather than adding a casual note to an obsolete approval.
This record answers a product-specific question. Use the separate supplier scorecard guide for relationship-level evaluation. For a product clarification before a wholesale discussion, use the wholesale inquiry page with the exact reference and question; an inquiry itself establishes no sample terms.
